Privacy Policy
Last updated: October 7, 2026
1. Who We Are and What This Policy Covers
ValuScribe NYC (“ValuScribe,” “we,” “us”) is a software platform that helps licensed real estate appraisers and brokers prepare commercial and income-producing property reports for New York City properties. It is operated by ValuScribe LLC, a New York limited liability company.
This Privacy Policy explains what information we collect when you create an account and use the platform, how we use it, who we share it with, and the choices you have. By creating an account, you acknowledge this Policy and agree to our processing of your information as described here. This Policy is incorporated into and forms part of our Terms of Service.
This Policy covers the ValuScribe application, our public website, and publicly shared report links. It does not cover third-party websites linked from the platform.
2. Information We Collect
Account and professional information you provide. Name, email address, password (stored only as a salted cryptographic hash — we cannot read it), professional designations, state appraiser or broker license numbers and expiration dates, firm name, firm address, phone, firm logo, signature image, custom brand colors, and optional errors-and-omissions insurance details.
Report and property content you create or upload. Property records, comparable sales and rentals, rent rolls, income and expense data, photographs, uploaded documents, narrative text, client profile information (including client names, contact details, intended use and intended user language), and every version of every report you generate. This content may include information about your clients and about third parties (for example, tenants named in a rent roll). You are responsible for having the right to upload it.
Payment information. Payments are processed by Stripe. We never receive or store full card numbers. We store a Stripe customer identifier, transaction records, and an internal billing ledger of chargeable events (for example, report finalizations).
Usage and technical information. Log data such as IP address, browser type, pages accessed, timestamps, report generation and export events, and error diagnostics. We use this to operate, secure, and improve the platform. We do not use third-party advertising trackers.
Cookies and similar technologies. ValuScribe uses only cookies that are strictly necessary to provide the platform. When you sign in, we set a secure, httpOnly session cookie that keeps you signed in; it expires seven days after you sign in, or when you sign out. When someone opens a password-protected shared report link, we set a short-lived (one hour) cookie that records that the correct password was entered for that link only. We also store a few display preferences in your browser’s local storage (for example, which report sections you have collapsed and whether you dismissed a notice); these never leave your device. We do not use analytics, advertising, or cross-site tracking cookies, and we do not sell or share cookie data. When you purchase credits you are sent to Stripe’s hosted checkout page, where Stripe may set its own cookies for payment processing and fraud prevention under Stripe’s privacy policy. Because these cookies are required for the platform to work, they cannot be switched off within ValuScribe; you can block or delete cookies in your browser settings, but you will not be able to sign in without the session cookie. If we ever add non-essential cookies, we will update this Policy and, where the law requires it, ask for your consent first.
Public records data. The platform retrieves and displays New York City and federal public records (including PLUTO, ACRIS, HPD, DOB, DOF, FEMA, and BLS data) about properties you research. This data originates from government sources, not from you, and is governed by those sources’ terms.
3. How We Use Your Information
We use your information to: provide and operate the platform, including generating report narratives and analyses; authenticate you and secure your account; process billing for finalized reports; provide support; maintain report version histories that support your professional record-keeping obligations; monitor for abuse, fraud, and security incidents; comply with law; and improve platform reliability and features. We use aggregated, de-identified usage statistics (never report content) to understand how the platform performs.
4. AI Processing
ValuScribe uses large language model services provided by Anthropic to draft report narratives, review report content, and power analytical features. When you generate or review content, relevant portions of your report data are transmitted to Anthropic’s API for processing and the output is returned to your report.
Under the commercial API terms in effect as of this Policy’s date, our AI provider does not use our API inputs or outputs to train its models. ValuScribe itself does not train any model on your report content.
All AI-generated content is a draft. The licensed professional of record retains full responsibility for reviewing, revising, and certifying all conclusions.
5. Service Providers (Subprocessors)
We share information only with service providers that host and operate the platform on our behalf, under their respective commercial terms:
| Provider | Purpose | Data involved |
|---|---|---|
| Vercel | Application hosting and delivery | All platform traffic |
| Neon | Database hosting | Account data and report content |
| Anthropic | AI narrative and analysis processing | Report content sent for generation |
| Stripe | Payment processing | Billing identity and transactions |
| Mapbox | Maps and geocoding | Property addresses and coordinates |
| Google Workspace | Business email and support correspondence | Communications you send us |
We do not sell your information. We do not share it with advertisers, data brokers, or any party other than the providers above, except as described in Section 8 (legal requirements) or with your direction.
6. Professional Confidentiality and the Appraiser/Broker Wall
We understand that appraisers are bound by the confidentiality provisions of the Ethics Rule of the Uniform Standards of Professional Appraisal Practice (USPAP). ValuScribe is a tool you use in your practice; assignment results and confidential client information you enter remain yours, and we act as your service provider with respect to that content. We access individual report content only as needed to operate the platform, investigate a support request you initiate, respond to a security incident, or comply with law.
The platform enforces a strict one-way separation between Appraiser mode and Broker mode at the application programming interface level. Content created in appraiser workspaces is never exposed to broker-mode features or users.
Publicly shared report links are created only by you, at your election, and can be revoked by you at any time. You are responsible for deciding what to share and with whom.
7. Data Retention
Because appraisal practice carries record-keeping obligations (USPAP requires workfile retention for at least five years, and longer where proceedings are involved), the platform is designed to preserve your reports and their version histories for the life of your account. Billing ledger records are append-only and retained for financial and audit purposes.
Deleted properties are held in a recoverable archive for seven days before permanent deletion. If you close your account, we will delete or de-identify your personal information within a commercially reasonable period, except records we must retain for legal, billing, tax, or dispute purposes. Before closing your account, export any reports you need for your own workfile retention — after deletion we cannot recover them, and your professional retention obligations remain yours.
8. Legal Requirements
We may disclose information if we believe in good faith that disclosure is required by law, subpoena, or court order; necessary to protect the rights, property, or safety of ValuScribe, our users, or the public; or necessary to detect or prevent fraud or security issues. Where legally permitted, we will notify you before disclosing your report content in response to legal process.
9. Security
We use industry-standard safeguards: encryption of data in transit (TLS) and at rest, hashed passwords, role-based access controls, rate limiting on sign-in, and audit logging of administrative actions. No system is perfectly secure; you are responsible for safeguarding your credentials. We will notify affected users of any breach of private information as required by the New York SHIELD Act and other applicable law.
10. Your Rights and Choices
You may access and update your account and profile information at any time in Settings. You may export your reports in PDF and Word formats. You may request a copy, correction, or deletion of your personal information by contacting us at the address below; we will honor requests subject to the retention obligations in Section 7. You may revoke any shared report link at any time. Because the platform’s core function is professional report preparation, some information (such as your license details on certified reports) is required to use the service.
11. Children
The platform is intended for licensed professionals and is not directed to anyone under 18. We do not knowingly collect information from minors.
12. Changes to This Policy
We may update this Policy from time to time. Each version is identified by a version date. If we make material changes, you will be asked to review and accept the updated Policy the next time you sign in before continuing to use the platform. Continued use after acceptance constitutes agreement to the updated Policy.
